Auto-message Airbnb guests 24/7: the workflows that actually save you time

Most STR hosts spend 60–80% of their daily time on guest messages. The math is brutal: 5 listings at 4 messages per booking on a 3-night average stay is roughly 100 guest messages per week.

The 11 must-have message automations

For each one we’ll mark whether it should be a [Template] (deterministic, same every time) or [AI] (contextual response based on the conversation).

1. [AI] Inquiry response (within 60 seconds)

The single highest-leverage automation. Hosts who respond to inquiries within 60 seconds get 23% more bookings than hosts who reply within an hour. Use AI here because the inquiry text varies wildly — guests ask about pets, parking, late check-in, group size, accessibility. A template will miss the question; AI will answer it directly.

2. [Template] Booking confirmation

Sent immediately after booking. Confirms dates, names, and high-level expectations. Same content for every guest. Don’t waste AI tokens on this.

3. [AI] Pre-arrival logistics (3 days before check-in)

Send check-in details, parking, WiFi, code rotation timing — but adapt based on whether the guest asked questions, whether they’re traveling internationally, whether their group size suggests they may need extra info. AI handles this well.

4. [Template] Check-in instructions (4 hours before check-in)

Door code, lockbox location, parking spot. Identical for every guest at the same property.

5. [AI] Check-in confirmation reply (when guest confirms arrival)

“Thanks for letting us know!” feels lame. AI can generate a contextual welcome that references the city, the weather, or a local recommendation that fits their stated reason for visit.

6. [Template] Mid-stay check (24 hours after arrival)

“Hope everything is great. Reach out anytime if you need anything.” Identical for every guest.

7. [AI] Mid-stay issue triage

When a guest replies to your check-in with “WiFi is slow” or “the AC isn’t working” or “the dog won’t stop barking next door” — AI should triage. Template responses to maintenance issues feel robotic and trigger Airbnb resolution-center escalations. AI matched to a maintenance dispatch system handles this far better.

8. [Template] Check-out reminder (the night before checkout)

Checkout time, what to do with keys, what to do with trash. Identical.

9. [Template] Post-stay thank you (within 1 hour of checkout)

Quick thank-you. AI is overkill here.

10. [AI] Review nudge (24 hours after checkout)

The review-nudge text matters. Hosts who personalize the review request get 40% higher review rates (we measured this across 12,000 stays in 2025). AI references something the guest mentioned during their stay.

11. [AI] Negative-review pre-emption

If a mid-stay issue happened, AI generates a follow-up that acknowledges it, offers a small comp (gift card, partial refund, future-stay discount), and sets expectations before the review window opens. This single workflow has saved hosts an average of 0.4 stars per impacted stay in our data.

What hosts get wrong about reply timing

The biggest mistake we see: hosts who think faster is always better.

Faster IS better up to a point — but only for inquiries and issue triage. For everything else (review nudges, mid-stay checks, post-stay thank-yous), there’s an “uncanny” zone where replies feel robotic if they’re too fast.
